This Privacy Policy explains how Cluematic (“Cluematic,” “we,” “us,” or “our”) collects, uses, discloses, retains, and protects information in connection with our done-for-you AI automation services (the “Services”). We build, deploy, and manage intelligent automation workflows for small and medium-sized businesses, primarily in the United States and the UAE/Middle East.

By engaging our Services, signing a service agreement, or interacting with our platforms, websites, or personnel, you (“Client,” “you,” or “your”) agree to the collection and use of information as described in this Privacy Policy.

If you do not agree with this Privacy Policy, please refrain from using our Services.


2. Scope of This Policy

This Privacy Policy applies to:

•       All information collected through our website and any online portals or client-facing tools we operate;

•       Information provided to us during onboarding, discovery, and delivery of our AI automation services;

•       Data processed through our automation workflows on behalf of Clients, including data belonging to a Client’s own customers or end users (“End User Data”);

•       Communications between Cluematic and its Clients, prospects, vendors, and partners.


This Policy does not apply to third-party websites, services, or platforms that we may link to or integrate with on your behalf. We encourage you to review the privacy policies of those third parties independently.


3. Information We Collect

We collect different categories of information depending on the nature of your relationship with us.

3.1 Business Contact Information

When you engage with Cluematic as a Client or prospective Client, we collect:

•       Full name and job title

•       Business name and address

•       Business email address

•       Phone number

•       Communication preferences

•       Correspondence records (emails, messages, meeting notes)

3.2 Payment and Billing Data

To process your monthly retainer payments, we collect billing-related information including:

•       Business name and billing address

•       Invoice and payment history

•       Payment method identifiers (e.g., last four digits of a card, bank account type)

Note: Cluematic does not directly store full credit card numbers or sensitive financial credentials. Payment processing is handled by trusted third-party payment processors, and we receive only tokenized or summary information.

3.3 AI and Automation Workflow Data

As part of delivering our done-for-you AI automation services, we may access, receive, process, or handle data that flows through the automation workflows we build and manage on your behalf. This may include:

•       Customer records, contact lists, and CRM entries

•       Lead and sales pipeline data

•       E-commerce orders, product data, and customer communications

•       Real estate listings, transaction data, or client correspondence

•       Construction project files, scheduling data, or vendor information

•       Inputs submitted to and outputs generated by AI models integrated into your workflows

•       Any other data you or your systems route through the automations we manage

This data is processed as a service to you and on your instructions. You remain the data controller for your End User Data; Cluematic acts as a data processor in this context.

3.4 Usage and Analytics Data

We may collect technical and behavioral data related to how you interact with our platforms and deliverables, including:

•       IP address and approximate location

•       Browser type, operating system, and device information

•       Pages visited, features accessed, and time spent on platforms

•       Error logs and system performance data

•       Workflow execution logs and automation performance metrics


4. How We Collect Information

We collect information through the following means:

•       Directly from you: when you complete intake forms, participate in discovery calls, sign agreements, or communicate with our team.

•       Automatically: through analytics tools, server logs, and monitoring software integrated into the platforms and tools we manage.

•       From your systems: when you grant us access to your CRM, e-commerce platform, communication tools, or data sources as part of service delivery.

•       From third-party integrations: such as GoHighLevel, Notion, Make (formerly Integromat), n8n, Slack, Discord, or other platforms connected to your workflows.


5. How We Use Your Information

Cluematic uses collected information for the following purposes:

5.1 Service Delivery

•       To build, configure, test, deploy, and maintain automation workflows on your behalf

•       To communicate with you about project status, updates, and deliverables

•       To onboard you as a Client and set up the tools and integrations required for your workflows

5.2 Billing and Account Management

•       To issue invoices and process your monthly retainer payments

•       To maintain accurate records of your account status and payment history

•       To resolve billing disputes or payment issues

5.3 Service Improvement and Quality Assurance

•       To monitor workflow performance and identify errors or inefficiencies

•       To analyze usage patterns and improve our service delivery processes

•       To develop new service offerings, templates, or automation frameworks

5.4 Communication and Support

•       To respond to your inquiries, support requests, and feedback

•       To send you relevant updates about your automations, platform changes, or new service capabilities

•       To maintain records of our communications for quality and compliance purposes

5.5 Legal and Compliance

•       To comply with applicable laws, regulations, and contractual obligations

•       To enforce our terms of service and protect our legal rights

•       To prevent fraud, unauthorized access, or other harmful activities


6. Use of AI Technologies and Third-Party Tools

Cluematic’s service delivery relies on a technology stack that includes third-party AI platforms, automation tools, and productivity software. By engaging our Services, you acknowledge and agree that:

6.1 AI Processing

We may use external artificial intelligence APIs and machine learning platforms to power the automation workflows we build for you. These AI systems may process data that you or your end users provide as inputs to those workflows, and may generate outputs that are returned to you or routed to other systems on your behalf.

We take reasonable steps to ensure that any AI platforms we use maintain appropriate data handling standards; however, the data practices of those platforms are governed by their own privacy policies and terms of service.

6.2 Core Technology Stack

Our standard delivery stack includes, but is not limited to, the following third-party platforms, each of which may process Client data as part of workflow execution:

•       n8n: Open-source workflow automation platform used to build and host automation pipelines

•       Make (formerly Integromat): Cloud-based automation platform for connecting apps and services

•       GoHighLevel: All-in-one CRM and marketing automation platform

•       Notion: Knowledge management and documentation platform used for project management and Client-facing deliverables

•       Slack / Discord: Team communication tools that may be integrated into Client workflows or used for ongoing communication

We recommend that you review the privacy policies of each of these platforms. Your use of Cluematic’s Services implies your acceptance that data may flow through these third-party systems as a necessary component of service delivery.

6.3 Data Processing Agreements

Where required by applicable law or Client request, Cluematic is willing to enter into a Data Processing Agreement (DPA) that governs the terms under which we process your data. Please contact us at the address provided in Section 13 to request a DPA.


7. Disclosure of Your Information

Cluematic does not sell your personal or business information to third parties. We may share information only in the following limited circumstances:

7.1 Service Providers and Subprocessors

We share information with third-party vendors and subprocessors who assist us in delivering our Services, including payment processors, cloud hosting providers, AI API providers, automation platforms, and communication tools. These parties are authorized to use your information only to the extent necessary to perform services on our behalf and are contractually required to maintain its confidentiality.

7.2 Legal Requirements

We may disclose your information if required to do so by law, regulation, court order, or governmental authority, or if we believe in good faith that such disclosure is necessary to protect the rights, property, or safety of Cluematic, our Clients, or others.

7.3 Business Transfers

In the event of a merger, acquisition, asset sale, or other corporate transaction involving Cluematic, your information may be transferred to the successor entity. We will provide notice before your information is transferred and becomes subject to a different privacy policy.

7.4 With Your Consent

We may share your information with third parties when you have given us explicit consent to do so.


8. Data Retention

We retain your information for as long as necessary to fulfill the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law. Specifically:

•       Client account and contact information: retained for the duration of our business relationship and for a minimum of five (5) years thereafter for legal and compliance purposes.

•       Billing and payment records: retained for a minimum of seven (7) years in accordance with standard accounting and tax requirements.

•       Workflow and automation data: retained for the duration of the engagement plus a reasonable wind-down period (typically ninety (90) days), after which it will be deleted or returned to you upon request.

•       Communication records: retained for up to three (3) years following the conclusion of our engagement.

•       Analytics and usage data: retained for up to two (2) years.

You may request the deletion of your information at any time, subject to our legal obligations to retain certain records.


9. Data Security

Cluematic takes the security of your information seriously and implements technical, organizational, and administrative measures designed to protect your data against unauthorized access, disclosure, alteration, or destruction. These measures include:

•       Encryption of data in transit using industry-standard protocols (TLS/HTTPS)

•       Access controls limiting data access to authorized personnel with a legitimate business need

•       Use of reputable, security-certified third-party platforms for data storage and processing

•       Regular internal reviews of our data handling practices

•       Confidentiality obligations for all team members and subcontractors

However, no method of transmission over the Internet or electronic storage is completely secure. While we strive to protect your information, we cannot guarantee absolute security. In the event of a data breach that affects your information, we will notify you in accordance with applicable law.


10. International Data Transfers

Cluematic serves Clients in the United States and the UAE/Middle East, and our team members may be located in various jurisdictions. As a result, your information may be transferred to, stored in, or processed in countries other than your country of residence, including the United States and the United Arab Emirates.

When transferring data across borders, we take steps to ensure that appropriate safeguards are in place to protect your information consistent with the requirements of applicable law. By engaging our Services, you consent to the transfer of your information to other countries as described in this Policy.

For Clients located in the UAE or broader Middle East region, we acknowledge applicable local data protection regulations and will work in good faith to ensure compliance with relevant requirements in those jurisdictions.
